    TECH TIPS NEWSLETTER - 10/10/08

    CHANGE PAGE NUMBERS IN WORD

    You can change the formatting of your page numbers from the Header and Footer toolbar.

    • From the View menu, click Header and Footer.
    • Click the Switch between Header and Footer option on the toolbar.
    • Select a page number.
    • On the Formatting toolbar, select a new font using the drop down arrow beside the Font box. Increase or decrease the font size using the drop down arrow beside the Font Size box.

    BACK AND FORTH WITH YOUR BROWSER

    Want to quickly navigate back and forward in your Internet Explorer or Firefox browsing session, but can't be bothered with actually moving the mouse pointer to and clicking on those Back and Forward arrows at the top of the window? As long as your mouse has a scroll wheel: Just hold the Shift key down and rotate the wheel forward to go forward in your browsing history and backward to go back.

    CAPS LOCK ON ACCIDENTALLY?

    If you accidentally hit all caps in word, you can easily fix it by following the steps below…

    • Highlight the ALL CAPS text
    • Hit SHIFT + F3

    INSPECT YOUR EXCEL SPREADSHEET

    Your Excel 2007 documents contain a lot more information than just rows and columns of data. They may include tracked changes, comments, private properties, and more. To examine (and clean out) the hidden data in an Excel 2007 document, click the Office button at top left, point to Prepare, and click Inspect Document.

    SMART TAGS IN EXCEL

    The Smart Tag lets you enter a series of dates automatically. You can enter an ascending series according to days, months and years.

    Select Cell A1, and press Ctrl+;

    Click the Fill handle at the bottom right edge of Cell A1, and drag it to several cells in the column.
    Do not cancel the selection of the range of dates. Excel creates a series according to days.

    Click the arrow in the Smart Tag. Select Fill Months

    CHANGE YOUR WORK WEEK CALENDAR IN OUTLOOK

    The Outlook calendar is set up to display Monday, Tuesday, Wednesday, Thursday, and Friday when you click the Work Week button. However, what if you only work three days a week and you only want those three days displayed in your Work Week?

    Adjust your work week using the steps that are listed below.

    • Open your Outlook calendar.
    • From the Tools menu, click Options.
    • Click the Calendar Options button on the General tab.
    • Select the check boxes beside the days of the week in your workweek.
    • Use the drop down arrow beside the First day of week box to select the day that you want.
    • Click OK.
    • Click OK to close the Options window.

    CHANGE THE IMAGE OF A TOOLBAR IN WORD

    There are many different ways that you can customize the toolbars in Word to meet your own needs and preferences. You can even go so far as to customize the image of a button on a toolbar. For example, if you add a custom macro to a toolbar, you can customize the button for the macro so a graphic appears instead of the macro name.

    To customize the image of a toolbar button:

    • Right click a visible toolbar in Word.
    • Click Customize. Verify that the Toolbars tab is active.
    • Right-click on the toolbar button you want to modify.
    • Click Change Button Image from the context menu.
    • Click on the graphic image you want to use. The image appears on the toolbar button.
    • Click on Close.

    SORT OUTLOOK CONTACTS BY CATEGORY

    Many users are surprised when they discover they can't search by category. It is possible to sort by category but you need to use the By Category view.
     
    It works this way because the category field can contain multiple categories (and few would want to sort by the first category only), while each group is made up only of items in one category.

    SIGN YOUR DOCUMENTS


    Word 2007 adds a new document-security feature: digital signing. You can add a signature field to any document, which will lock the file for editing unless the digital signature is deleted. While anyone can delete the signature and edit the file, the signed document is your stamp of approval.  Anyone can break the seal, but then recipients will know you did not have the final say.

    NEW FOLDER SHORTCUT IN VISTA

    There is quick and easy way to create new folders in Windows Explorer using a series of keystrokes. Instead of going through the motions of clicking the File menu, pointing to New, etc. Simply press F+W+F while holding down the ALT key and a new folder is created!

    FIT IT ALL IN AN EXCEL CELL

    Have you ever wondered how you would ever fit the data you need to record in a single tiny cell? Simply type all the required data, click Enter (or Return), and click the cell again. Then go to Format > Cells > Alignment, choose Wrap Text, and click OK.
